Upload employee documents & how verification works
Employee documents in Kredily — ID proofs, PAN, bank proofs, certificates — live on the employee's profile, where the employee can upload them and an admin can review them.
Where documents live
Each employee's documents sit on their profile, alongside their personal and bank details. Employees update their own profile and attachments; admins can view and manage them subject to their role's permissions — see Update employee profile & bank details.
Uploading a document
- Open your profile (web, or the mobile app).
- Go to the documents section and choose the document type you're adding.
- Upload a clear, legible scan or photo. Make sure names and numbers match what HR has on record — mismatches are the most common reason a document is queried.
Are uploaded documents automatically approved?
No. Uploading a document does not mean it is verified. Your HR/admin team reviews what's uploaded, and sensitive fields that documents support — like bank account and IFSC changes — follow the review flow described in Update employee profile & bank details. For admins — reviewing what employees upload
- Documents are visible on the employee's profile to roles whose permissions include viewing employee records (sensitive IDs are a separate capability — check the permission matrix).
- Ask the employee to re-upload if a file is unreadable; keep the record consistent with the profile fields it supports.
- Company-issued paperwork (offer letters, Form 16 and other letters) is generated from the Documents module, not uploaded — see Generate letters and Form 16.
Common issues
- "My document shows as uploaded but nothing changed" — the linked detail (e.g. a bank account) updates only after review, not on upload.
- Upload fails or the file is rejected — retry with a smaller, clearer image or PDF; if it persists, raise a ticket with the file type and size.
When to contact support
Raise a ticket if an upload repeatedly fails, if a reviewed document hasn't reflected after your admin approved it, or if you need a document type added for your organisation.
