Salary Increment Letter Format
A salary increment letter is the formal communication from an employer to an employee recording an upward revision in compensation — the new CTC, the effective date and the revised salary structure. In India it is typically issued after the annual appraisal cycle (commonly effective 1 April), on promotion, on confirmation, or as a market correction to retain key talent.
HR issues it because a verbal 'you got a 12% hike' has no payroll or legal standing: the letter amends the compensation terms of the appointment letter, drives the payroll change, and becomes the employee's proof of income for loans, visas and future salary negotiations. It also doubles as a recognition document, so tone matters alongside numbers.

What to include
- ✓ Revised CTC with old-vs-new comparison and percentage — removes ambiguity about the quantum of the hike.
- ✓ Effective date and arrears treatment — appraisal letters are often issued after the effective date, so the arrears line prevents payroll disputes.
- ✓ Full revised salary break-up — basic pay drives PF, gratuity and leave encashment, so the structure must be restated, not just the total.
- ✓ 'All other terms unchanged' clause — confirms the letter amends only compensation, keeping the appointment letter intact.
- ✓ Variable pay disclaimer — states that performance bonus is conditional, not guaranteed, protecting against claims for unpaid at-target amounts.

Legal notes (India)
- § There is no law mandating annual increments in the private sector — increments are contractual/discretionary unless promised in the appointment letter or a settlement — but once communicated in writing with an effective date, the revised salary becomes enforceable and payroll must honour it.
- § Restructuring salary during an increment has statutory ripple effects: PF contributions under the EPF & MP Act, 1952 are computed on basic wages (with the Supreme Court's 2019 ruling treating uniformly-paid allowances as PF wages), and gratuity under the Payment of Gratuity Act, 1972 is computed on last-drawn basic plus DA — keep the basic proportion consistent and defensible.
- § Ensure the revised wage still meets the applicable state minimum wage for the employee's category, and that crossing thresholds (e.g., ESI eligibility at the prescribed wage ceiling) is handled in payroll from the effective month.
