Promotion Letter Format
A promotion letter is a formal communication from an employer confirming that an employee has been elevated to a higher designation, typically accompanied by increased responsibilities, revised compensation, or both. It formally documents the change in the employee's role within the organisation.
In India, HR issues a promotion letter after the employee's promotion has been approved through the internal review or appraisal process, and it is often issued alongside or shortly after the appraisal cycle, once the new role, reporting structure, and revised pay have been finalised.

Legal notes (India)
- § A promotion letter modifies specific terms of the existing employment contract (designation, pay, sometimes location) — it does not create a new contract, so continuity of service, tenure-based benefits (like gratuity eligibility) and past service records remain intact.
- § If the promotion changes the employee's classification (e.g. from "workman" to a supervisory/managerial role under the Industrial Disputes Act, 1947), this affects future entitlement to protections like retrenchment compensation, so HR should assess and document the change in classification carefully.
- § Revised CTC figures should be reflected accurately in payroll systems from the effective date to ensure correct PF, ESI (where applicable) and TDS computation, avoiding statutory mismatches.
