Joining Letter Format
A joining letter (also called a joining report or joining confirmation) is a short formal document confirming that a new employee has reported for duty on their agreed date of joining, and stating their designation, department, and reporting manager as they begin employment.
In India, HR typically issues or requests this letter on the employee's first day, once the offer/appointment letter terms have been finalised and the employee has completed initial joining formalities such as document verification, ensuring there is a clear record of the actual start date for payroll and compliance purposes.

Legal notes (India)
- § The date of joining recorded in this letter is the reference point for statutory registrations (EPF, ESI where applicable) and must be filed accurately and promptly with the relevant authorities to avoid compliance delays or penalties.
- § If the actual date of joining differs from the date stated in the offer/appointment letter, this joining letter (or an addendum) should expressly note the revised date, since it affects probation timelines and tenure-linked benefits like gratuity eligibility.
- § Employers should complete background/document verification before or promptly after joining, and any appointment letter clause conditioning employment on satisfactory verification should be clearly cross-referenced if verification is still pending at the time of this letter.
