Address Proof Letter Format
An address proof letter is a formal document issued by an employer confirming an employee's current residential address on record with the company, typically used as supporting documentation where an official government-issued address proof is unavailable, delayed, or under a different address.
In India, HR issues this letter when an employee requests it for purposes such as opening a bank account, obtaining a utility connection, applying for a visa, or completing KYC formalities, based on the address the employee has submitted and updated in their HR records.

What to include
- ✓ Employee identification — name, ID, designation, and tenure to confirm the person's association with the company
- ✓ Address as per HR records — states the address exactly as declared by the employee, avoiding employer liability for inaccuracy
- ✓ Disclaimer of independent verification — clarifies the company relied on employee-declared data, not government verification
- ✓ Stated purpose — names why the letter is being issued, since some recipients (banks, embassies) require this

Legal notes (India)
- § This letter is not a substitute for statutory "proof of address" documents (Aadhaar, passport, utility bill, etc.) required under KYC norms (RBI/SEBI guidelines) or the Passports Act — many institutions will only accept it as supplementary, not primary, proof.
- § Since the employer is relying entirely on employee-declared information, the letter should explicitly disclaim independent verification to limit the company's liability if the address later proves incorrect or fraudulent.
- § HR should ensure the address matches what is on file for statutory filings (PF, ESI, tax records) to avoid inconsistency if the same letter is cross-checked against other official employer submissions.
